Intended Audience
This Technical Information sheet is intended for Paradox users
from beginning to expert.
Prerequisites
A basic understanding of the creation and use of reports as
detailed in the Paradox 4.0 User's Guide Chapter 7.
Purpose
This document illustrates how to print envelopes on an HP
LaserJet Series II or compatible printer.
It is often desirable to print envelopes with addresses that are
stored in a database. This can be accomplished by using the
Paradox Report feature.
The first step is to create the report. Choose Report | Design |
<Table Name>, then choose the report number, name the report, and
choose Free-form. This will give you a Standard Free-form report
layout that looks something like this:

Note: The ruler in the examples in this document only extend to
60 characters for formatting purposes.
Next, remove all lines in the report outside of the Form Area
(the area between the two FORM lines). To do this, place the
cursor at the far left of the line and press Ctrl+Y. Then, press
Ctrl+V to place a vertical ruler in the report. At this point
the report should look like this:

Next measure the size of the envelope you are using. Now
multiply the width by ten to get the width setting for the
report, and multiply the length by six and round down to get the
page length of the report.
Note: If you are going to use 8 lines per inch or a compressed
font for the envelopes, see the appendix at the end of the
paper). For a 9 1/2" by 4 1/4" envelope the width will be
95 and the length will be 24. To set this, choose Setting
| PageLayout | Length and set the length to 24 and press
Enter. Then choose Setting | PageLayout | Width and set
the width to 95 and press Enter.
Next, you need to enter a setup string for the report. This
example illustrates how to print Commercial 10 envelopes, and
manually feed them. If you are using an envelope tray or feeder,
or a different sized envelope, see the Appendix at the end of
this document. To enter the setup string choose Settings | Setup

| Custom | <Your Printer Port> and then type in
\027E\027&l3h81a1O as the Setup string and \027E as the Reset
string.
Note: Paradox versions 3.5 and earlier do not have reset strings.
You will need to place a calculated field with "\027E" on a
blank line in the report footer. Make sure you include the
quotes.
Now you are ready to create the layout of your envelope. There
are several ways to accomplish this, but there are a few rules
you need to follow.
- Make sure that the number of lines between the two FORM
lines does not exceed the number of lines you calculated
for the report length (24 in this example).
- Do not add any lines outside of the FORM band, and stick
to a single page width. To determine how many Page Widths
are currently set, you will need to look at the Page Width
indicator on your screen. In version 4.0, the indicator
is in the lower left corner of your report window, and is
given as two numbers with a colon ":" between them. The
first number is the current Page Width and the second
number is the total Page Widths. In versions of Paradox
prior to Paradox 4.0, the indicator appears as a fraction
in the upper right corner of your screen. The top number
indicates your current Page Width, while the bottom number
gives you the total Page Widths. You always want the
current Page Width to be 1, and the total Page Widths to
equal 1.
- Include a blank line at the bottom of the FORM band and
place the word PAGEBREAK on the far left side of this
line.
- In designing the layout, you will probably want to place a
few blank lines at the top of the FORM band, and position
the address over to the right in the FORM band to center
the Address on the envelope.

Now you are ready to print!
It is usually best to print a couple of test pages first to make
sure that the address is positioned in the correct location on
the envelope. If it isn't, you can adjust the number of lines
above the address to compensate, or move the fields left or right
to center the address on the envelope. To print only a few
envelopes from your database, you can choose Reports |
RangeOutput, type in the name of your table, select the Report
number, choose Printer, type in the Beginning page number, press
Enter, and type in the Ending page number and press Enter. You
can also use a query to select particular records that you want
to print. For information on this technique, refer to Technical
Information Sheet number 685.

Below are a list of common questions and answers about how to set
up a Paradox report to print on envelopes:
Questions and Answers
1) Q: How do I set this up to use an envelope feeder or tray?
A: You can adjust the setup string for that. The standard
setup string looks like this:

1= Upper Tray
3= Manual Envelope Input
4= Lower Tray
6= Envelope Feeder
2) Q: How do I set up an envelope for 8 lines per inch or
compressed print?
A: First you adjust the setup string. The standard setup
string looks like this: \027E\027&l3h81a1O. You can add
\027&l8D to the end of the string for 8 lines per inch,
and \027(s16.66H for compressed print. Both of these
strings can be used at the same time. Second, you will
need to adjust the length and width of the report.
To determine the length of the report, multiply the
length of the envelope in inches by 8 (for 8 lines per
inch). Change the report length by choosing Setting |
PageLayout | Length, type in the value that you
calculated for the length, and press Enter.
For compressed print multiply the width of the envelope
in inches by 16.66 and round the value to get the report
width. Change the report width by choosing Setting |
PageLayout | Width, type in the value that you calculated
for the width, and press Enter.

3) Q: How do I print a report on different size envelopes?
A: Adjust the setup string. The standard setup string looks
like this for standard 9 1/2" by 4 1/4" Commercial 10
envelopes:

80 = Monarch (7 1/2" by 4")
81 = Commercial 10 (9 1/2" by 4 1/4")
90 = International DL (9" by 6 1/3")
91 = International C5 (8 2/3" by 4 1/3")
4) Q: When I print out the envelopes, the address creeps down
the envelope on each successive record, or I get multiple
addresses on each envelope.
A: From the Main menu choose Report | SetPrinter | Override
| EndOfPage and set it to FormFeed. Next make sure that
the total number of lines in your form band do not exceed
the length of the report you calculated. Finally, make
sure that you have the word PAGEBREAK on the last line of
the FORM band on a line by itself, and that it is
positioned at the left margin of the report
specification.
5) Q: I am getting a blank envelope for the first envelope or
between each printed envelope.
A: Make sure that the number of lines in your form band do
not exceed the number of lines that you have calculated
for the report length.
